Best Practices to Reduce Processing Costs
• Always dip or swipe when the card is present.Card-not-present transactions cost more because they carry more risk. If the card is physically in front of you, use the chip or swipe instead of typing in the number.
• Enter address information for manually keyed transactions.Adding the billing ZIP code and address improves the security score and reduces risk pricing. This small step lowers costs on keyed transactions.
• Use debit cards when possible.Debit cards typically cost less to process than credit cards. When appropriate, ask if the customer would like to use debit.
• Keep transactions on a single batch per day.Closing batches properly each day prevents “downgraded” charges that lead to higher interchange fees. Make sure your system is set to batch out daily.
• Capture a customer signature.Even on small purchases, a signature is valuable. If a customer disputes a transaction later, you have proof they authorized it, helping avoid expensive chargebacks.
• Make sure your terminal or POS stays updated.Outdated software can trigger higher rates or missing security features. Ask your provider if updates are needed.
• Avoid unnecessary refunds by using clear return policies.Refunds not only cost time and money, but if a customer initiates a chargeback first, you can pay extra fees. Signage and clear communication reduce this risk.
