Best Practices to Stay PCI Compliant

You do not need to be a security expert. Following these habits will help protect customer data and keep your business compliant.

Never Write Down Card Numbers

Avoid keeping card information on paper, sticky notes, order sheets, or handwritten invoices. Writing numbers down is a direct violation and can lead to big fines if data is stolen.

Do Not Store Card Information in Email

Email inboxes are not secure storage. Never ask customers to send their full card number through email and never store emailed card data.

Use Proper Devices for Keyed or Swiped Transactions

Only run credit cards on approved, secure terminals or payment platforms. Never key cards into general software, spreadsheets, or any system not designed for card processing.

Protect Your Wi-Fi Network

If you accept payments over a wireless network, make sure it has a password that is changed regularly. Never use public Wi-Fi to run payments.

Train Employees on Data Security

Anyone touching payments should be trained on what they cannot do, including writing down card numbers, sharing passwords, or using unapproved devices to process payments.

Keep Receipts Secure

Receipts should not show full card numbers. Store printed receipts in a secure area and shred old ones properly.

Update Your Equipment and Software

Outdated terminals or POS systems may lack security features. Make sure updates are installed and check with your provider if your equipment is older.
